Microsoft storage usually means the cloud allowance attached to a personal Microsoft account: space for OneDrive files, photos, Outlook.com attachments, and content from other Microsoft services. Your Outlook.com mailbox has a separate limit. A work or school account follows different rules, and neither allowance is the same as the disk space on a Windows PC.
If you have a storage warning, start by identifying the account and the allowance that is full. That determines whether you need to remove cloud files, clear email, free local disk space, or ask an administrator for help.
For a personal photo collection, begin with a file-storage service. For a team document library, assess collaboration and administration. An application needing an object-storage API belongs in a different comparison.
Microsoft's personal-account quota reference lists the following allowances. These figures were checked on October 15, 2026.
Older Family and Premium subscriptions can still have 1 TB per person during the transition. Microsoft's current U.S. guidance places new and upgraded subscriptions on shared storage from October 8, 2026, with existing Family and Premium subscriptions generally moving at renewal on or after May 2, 2027. Check your own subscription notice and dashboard before making a purchase or cancellation decision. The shared-storage explanation covers transition conditions. Sharing capacity does not automatically share members' files.
Compare the current OneDrive plans in your market, including renewal terms and any storage add-on offered to your account. A plan with more productivity or AI features may cost more without giving you a larger base storage allowance. Decide whether you need those features before upgrading.
A free Outlook.com account has a 15 GB mailbox allowance; Microsoft 365 consumer subscriptions include a 100 GB mailbox. These are separate from cloud capacity. Attachments can still fill the cloud allowance while the mailbox has room, which explains some apparently contradictory warnings.
If either limit is exceeded, Outlook.com can stop sending and receiving email. Messages returned to senders must be sent again after the problem is resolved. See Microsoft's Outlook.com storage guidance.
A useful note is specific: “My personal cloud allowance is full, but my mailbox and laptop disk have space.” That is enough to avoid paying for the wrong kind of capacity.
When personal cloud storage is over quota, OneDrive restricts uploads, edits, and synchronization. Do not leave an over-quota account unattended: Microsoft's quota guidance also describes account freezing and eventual deletion. Check the notice for your account, especially during a subscription transition, rather than assuming a universal grace period.
Review large files first, but distinguish material you no longer need from material you want to keep elsewhere. Download important files into a separate location outside the synchronized OneDrive folder. Open the downloaded copies and check their contents before deleting anything from the cloud.
A visible filename or thumbnail is not enough. An online-only placeholder may need to download its contents, and a document may rely on linked files. Keep the original until you have checked the files you intend to retain. Our guide to using cloud storage explains the upload-and-retrieval check.
Delete only the cloud files you have chosen to remove. OneDrive deletions propagate to connected devices; deleting a shared item can affect other people. Review its sharing status first. Microsoft's deletion guide explains these effects.
For email, preserve any message or attachment you need before removing it. Saving an attachment into OneDrive may reduce mailbox usage after the email is deleted, but it still occupies Microsoft cloud space. Moving it between two parts of the same allowance is not a reliable way to reduce that allowance.
Items in the OneDrive recycle bin can still count toward cloud usage, and Outlook's Deleted Items folder counts toward mailbox usage. Empty those locations only after reviewing their contents and checking retained copies. This removes a recovery route. Allow time for usage totals to update, then check the dashboard again.
OneDrive Files On-Demand can keep files online while reducing their local disk use. On Windows, Free up space removes the downloaded copy while retaining the cloud file; Always keep on this device downloads it for offline use. Neither increases the cloud quota.
Deleting a file is different: that can remove it from OneDrive across devices. Follow the Files On-Demand instructions when your goal is local space. Keep a separate recovery copy for important files, as explained in our cloud sync and backup guide.
You can access OneDrive cloud storage through a browser, the desktop sync app, or the OneDrive mobile app. Choose the same account on each device. The web view is useful for checking what has reached the service; the desktop app integrates files and folders into your computer's file browser; mobile access helps you retrieve photos and files away from your desk.
For example, if a folder is missing on your phone, check its account and the upload status on the computer before uploading a second copy. A local folder that has not finished syncing is not yet a complete cloud copy. For offline work, download the files you need in advance and check that they open without a connection. Reconnect afterward and resolve any sync error before relying on the updated cloud version.
Compatible Word, Excel, and PowerPoint documents stored in OneDrive or SharePoint can support co-authoring. Participants need appropriate access, and available editing features depend on the app, file format, and subscription. Microsoft describes the relationship between OneDrive, SharePoint, and document collaboration.
Decide whether you want colleagues to edit one shared document or receive an independent copy. An exported attachment can become a separate version, while a shared link points people back to the stored file. For important documents, agree who maintains the current version and check version history when changes need investigation.
Before sending a link, check the selected audience and whether editing is allowed. An “Anyone” link and a link restricted to specified people have different consequences. Work accounts may have options disabled by an administrator. Microsoft's file-sharing instructions explain the available controls.
Test access with the intended recipient, then review it again when the work ends. A shared folder deserves particular care because its contents can change after you send the link. For sensitive files, use the organization's approved sharing method instead of assuming that a hard-to-guess URL is sufficient protection.
Microsoft 365 work and school accounts are administered by an organization. OneDrive is intended for an individual's work files; shared team content belongs in an appropriate shared library. The OneDrive service description explains supported uses and licensing. Confirm the effective quota with your administrator rather than assuming every license includes the same capacity.
In workplace Teams, files uploaded to a channel are stored in SharePoint. Files uploaded to a private chat are stored in the sharer's OneDrive for work or school. Microsoft's service architecture documentation explains the distinction. A file appearing in Teams therefore does not tell you which storage allowance or retention policy applies.
Before a colleague leaves, arrange a handover through the organization's process. Check file location, access, retention requirements, and links used by other people. Copying a folder alone may not preserve permissions, version history, or document workflows.
Microsoft describes encryption and account safeguards in its OneDrive security guidance. Protect the account as well as the files: maintain recovery information, use two-step verification, and secure devices that hold downloaded copies. A service's encryption does not prevent an authorized recipient from copying content you share with them.
Review who can open a shared file and whether they can edit it. Use the narrowest access that meets the task, and check old links when a project ends. OneDrive's Personal Vault adds identity verification and automatic locking for personal files. It should not be described as proof that Microsoft has no technical access to file content.
For organizational Microsoft 365 Copilot, Microsoft says prompts, responses, and Microsoft Graph data are not used to train foundation language models. Copilot can surface organizational content the user is already permitted to view, so overly broad sharing permissions still matter. Read the applicable Copilot data-protection documentation; do not assume every consumer Copilot experience has identical settings or terms.
OneDrive is a practical choice when Microsoft document collaboration is part of your daily work. A separate storage service can make sense for a personal archive or for files that do not depend on those workflows. Compare retrieval, sharing, recovery, supported devices, and the effort required to move files, alongside price.
Store with Hivenet is an option for storing files separately from a productivity subscription. It does not replace SharePoint administration or real-time Office collaboration. Store encrypts file content and offers an optional separate encryption passphrase; account, usage, and device information are not all hidden by that encryption. See how Store encryption and access work.
Test a small, non-sensitive folder first. Retrieve it from the destination and open the files before committing a larger archive. For work documents, obtain the organization's approval before transferring them to another provider. A comparison is only useful if the replacement supports the way you actually use the files.
A personal Microsoft account includes a small free storage allowance. More storage requires an eligible paid subscription or add-on. Check whether the extra capacity is individual or shared, and compare the renewal price rather than a temporary introductory offer.
Your PC disk and cloud allowance are separate. Check the account dashboard to find whether files, photos, or attachments are consuming the cloud allowance. Buying a larger local disk will not increase it.
Deleting a file inside the synchronized OneDrive folder normally propagates online and to other devices. Use the local-space control when you only want to remove a downloaded copy.
That depends on the subscription's transition status. Older subscriptions may retain individual allowances temporarily; new Family subscriptions use shared capacity. Check the current quota in your account before planning around an older comparison table.
No. Personal and organization-managed accounts have separate subscriptions and controls. Ask your workplace administrator about the account that is full.
